This is a newly established role aimed at supporting the expanding operations of the Parish Council. The Administrative Officer will play a pivotal role in supporting the Parish Clerk and will be essential in ensuring the smooth functioning of the parish council office. They will provide crucial support in administrative tasks to the Grounds Maintenance Department and Redhouse Community Centre.

Job Type: Part-time (24 hours per week)
Hours: Monday to Thursday 10:00 am to 4:00pm
Salary: LC2 (18-23), £29,269 to £32,076 (pro-rata – 24 hours/week) depending on qualification and experience.

This list represents current duties and responsibilities; however, additional tasks may be required in alignment with the evolving needs of the parish council.

  • Serve as the primary point of contact for visitors and callers to the Parish Office, offering assistance and guidance as required.
  • Handle incoming and outgoing correspondence promptly and ensure it reaches the relevant departments.
  • Assist the Parish Clerk in carrying out the functions of the Parish Council to achieve its aims and objectives.
  • Maintain organised filing systems for both physical and digital documents.
  • Assist in managing the Parish Council website, social media channels and noticeboards
  • Receive invoices for goods and services to be paid for by the Council, and ensuring such accounts are passed directly to the Clerk.
  • Issuing invoices on behalf of the Council
  • Issuing purchase orders on behalf of the Council, as directed by Council Officers, and entering data to maintain records.
  • Provide general administrative assistance to Parish Officers and Councillors.
  • To cover other duties during a colleague’s absence as and when required.
  • Undertake necessary training to enhance skills and knowledge.

This role may involve additional tasks to support the evolving needs of the Parish Council, Grounds Maintenance Department, and Redhouse Community Centre.

Requirements:
GCSE level grades A – C or equivalent education, with strong literacy and numeracy skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office suite and familiarity with website management and social media platforms.
Strong organisational skills with meticulous attention to detail.
Ability to work independently and collaboratively within a team environment.
Willingness to adapt to changing requirements and undertake necessary training.
